Business Process

AI-generated BPMN 2.0 process maps showing current-state and future-state workflows — embedded directly in the generated DRP document.

AI in this module

How AI suggestions work

This module has two separate AI mechanisms, and it's worth knowing which is which:

  • "Generate Current State Process" / "Generate Future State Process" (in each diagram field) — turns your description or uploaded file into valid BPMN 2.0 XML, rendered live as a swimlane diagram. This is the only way to populate a diagram field; there's no manual diagram editor.
  • "Get AI Suggestions" (top of the module) — drafts or improves Process Notes only, grounded in the DRP's other content and any AI Knowledgebase documents. It never touches the diagrams.

A Process Notes suggestion appears as a single card in the right-hand panel with its own "Apply" button — applying it replaces the field's current text with the AI's draft.

Both diagrams are embedded directly into the generated .docx as images, so there's no separate diagram file to keep in sync — whatever's in the viewer when you save is what ends up in the exported DRP.

Quality checks

What "Check Quality" looks for here

Notes add real information. Flags commentary that just narrates the diagram instead of adding something the diagram doesn't already show.

Explains the why. Checks that notes explain why the process is changing, not just what changed.

What it captures

Current-state and future-state process maps, generated as BPMN 2.0 diagrams, showing how a business process works today and how it will work after the project — plus a Process Notes field for narrative commentary the diagrams alone don't cover.

Using this module

This module has three fields: a Current State Process diagram, a Future State Process diagram, and a Process Notes text field. The two diagram fields work independently of each other and of Process Notes — you can fill in only the ones that are relevant.

  1. 1For each diagram, choose "Describe" to type the process in plain language, or "Upload file" to hand the AI a sketch, photo, or document of the process (PNG, JPG, or PDF, up to 10 MB).
  2. 2Click "Generate Current State Process" or "Generate Future State Process" — this is a separate action from "Get AI Suggestions" (see below) and only affects that one diagram.
  3. 3Review the rendered diagram in the viewer — zoom and pan to check the flow, decision points, and roles are right.
  4. 4Regenerating a diagram replaces it outright with no undo, so note down or screenshot a version first if you want to compare before/after.
  5. 5Use Process Notes for anything the diagram can't show on its own — why the process is changing, key handoffs, exceptions.

Review and approval

Reviewed as a whole, when its review level is Module-level: the current state diagram, future state diagram, and Process Notes are all covered by its reviewers and approver assigned from the project's Modules tab, or overridden on this DRP's Review Assignments tab. Once submitted, neither diagram can be regenerated and Process Notes cannot be edited; press "Reopen to edit" first, which cancels the round and returns the module to In progress.

Tips

  • Describe the process in plain language — steps, decision points, roles involved, and outcomes — for the most accurate diagram.
  • Both the current state and future state maps are embedded directly into the generated .docx, so there's no separate diagram file to keep in sync.
