Use Cases & Scenarios

Identifies all actors interacting with the system and maps them to use cases. Supports functional analysis and test planning.

AI in this module

How AI suggestions work

Click "Get AI Suggestions" to have the AI draft or improve the whole table in one pass, grounded in the DRP's other content and any AI Knowledgebase documents. The suggestion appears as a single card in the right-hand panel — click "Apply" to replace your current table with it.

Quality checks

What "Check Quality" looks for here

Specific, real goals. Flags a use case with a vague goal like "use the system" instead of a concrete one.

No duplicate pairings. Flags the same actor/use-case pairing repeated across rows.

Actors are roles, not people. Flags an "actor" that's really a named individual rather than a role or system — actors should describe a type of user, not a specific person.

What it captures

Every actor that interacts with the system, mapped to the use cases they're involved in.

Using this module

This module is a single table: one row per actor/use-case pairing, with the Goal that use case achieves for that actor.

  1. 1Use "+ Add row" to add an actor/use-case pairing, and the ✕ on a row to remove one.
  2. 2If one actor has several use cases, give them one row per use case rather than cramming them into a single cell.

Review and approval

Reviewed as a whole, when its review level is Module-level: its reviewers and approver cover the entire actor/use-case table, assigned from the project's Modules tab, or overridden on this DRP's Review Assignments tab. Once submitted it is read-only; to change it, press "Reopen to edit", which cancels the round and returns it to In progress.

Tips

  • "Export CSV", at the top of the page, downloads this table as a spreadsheet file — handy for sharing it with someone who works in Excel.
  • This pairs naturally with the Requirements module — use cases here help structure user stories and acceptance criteria there.
  • Also useful input for test planning, since actors and use cases map closely onto test scenarios.
